Who I am
Nikki Jeffery Marketing is run by Nikki Jeffery, trading as a sole trader based in the UK.
I'm the data controller for the information described here.

What I collect and why
When you get in touch or book a call. Your name, email address, and anything you tell me in your message or booking form. I use it to reply, arrange the call and, if we work together, run the project. The legal basis is taking steps at your request before a contract, and then the contract itself.
When you subscribe to my newsletter. Your email address and, if you give it, your first name. I use it to send you the newsletter. The legal basis is your consent, and you can withdraw it at any time with the unsubscribe link in every email.
Business contacts I reach out to. I sometimes contact people at businesses I think I can help, using work contact details from LinkedIn and from business data providers (for example, prospecting tools that find a published work email address). I hold your name, job title, company, work email and LinkedIn profile. The legal basis is my legitimate interest in telling relevant businesses about my services. I tell you where your details came from in my first message, and I stop and delete your details as soon as you ask.
Clients. Contact and billing details, and whatever project information we share. I keep invoices and accounting records because the law requires it.
Website visitors. My site is hosted on Wix, which uses cookies and collects basic usage data (pages visited, device, rough location) so I can see how the site is used. You can manage non-essential cookies through the cookie banner.
Who else handles your data
I don't sell your information. I use these services to run the business, and they process data on my behalf:

Wix (website, forms, bookings, contacts and newsletter)

Microsoft (email and calendar)

Zoom and Google Meet (video calls)
Some of these providers store data outside the UK. Where they do, they use approved safeguards such as the UK International Data Transfer Addendum or standard contractual clauses.
AI tools
I use AI tools, mainly Claude (made by Anthropic), to help with research, drafting and organising my work. Sometimes personal information passes through them, for example a business contact's name and job title when I'm reviewing who to get in touch with, or notes from a client call.

I use versions of these tools set so that your information isn't used to train their models.

I don't use AI to make decisions about you. I decide who I contact and who I work with.

I don't put a client's confidential information into AI tools unless the client has agreed.
How long I keep it

Newsletter subscribers: until you unsubscribe.

Enquiries that don't turn into work: up to 2 years, then deleted.

Business contacts I've reached out to: up to 12 months if we don't get talking, or straight away if you ask.

Client and accounting records: 6 years after the end of the financial year they relate to, as the law requires.
Your rights
You can ask me to:

tell you what information I hold about you and send you a copy

correct anything that's wrong

delete your information

stop using it, or stop contacting you

move it to another provider, where that applies

If you're unhappy with how I've handled your information, please tell me first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
